Free CRM is all well and good, but the fact is, it does come with some frustrating limitations. Free CRM is basically like the meat and potatoes of the business software menu – it’ll fill you up, but it’s not exactly going to set your tastebuds alight.

But what’s to be expected? CRM suppliers provide free CRM plans as a way to get you using – and reliant upon – their services. Their true motivation is to get you upgrading to a paid package. So, while free software is mostly very handy, it won’t provide you with the core features you’ll need to grow your business.

Let’s take a look at what you’ll be missing with a free CRM.

X Lack of scalability

One of the major selling points of paid CRM software is that it’s scalable, designed to grow alongside your business. CRM systems are typically priced per user, per month – so you’ll only pay access for team members who’ll actually be using the software.

Free CRM systems generally impose strict limits on the maximum number of users you’re allowed – it’s usually around two or three. This, of course, is fine if you’re a sole trader, or have just branched out into business.

But as you add more and more fresh-faced new staff to your books, you’ll need to make sure your CRM solution is scaling with your team’s ambitions.

The F word that’s on everyone’s lips… features! The good news is that most CRM systems come packed full of them – and they’ll make your life a whole lot easier.

The bad news, though, is that free plans will seriously limit the amount of features you’ll actually get to use. Free CRM system suppliers are notorious for stripping back most of the functionality that makes the software so great. Automation, analytics, and email template builders are all examples of important features that you might not get unless you pay for your CRM.

CRM systems don’t just store your client and contact data – they allow you to utilise it through targeted email marketing, too. CRM systems let you create engaging emails, and send them in bulk to your customer database. It’s a quick, direct approach that simplifies how you manage your client communications.

The catch? Well, free CRM systems limit the amount of emails you can send per day. Again, this shouldn’t be an issue if you’re a small operation with a more modest client base. But as your business grows, your contact list will, too – and you’ll need to be prepared to adapt your approach to CRM accordingly.

X Limited contacts and storage

Speaking of growing your contact list, what happens when your CRM runs out of room for them? With free CRM, this is a real possibility, with some plans capping contact limits at as few as 150 contacts.

And, by capping the total amount of data you can store in your CRM system, free plans also limit the amount of deal, lead, and opportunity information you can store – not great for growing businesses!

That’s right – we spent hours (if not dollars) exploring five free CRM systems. Contacts were imported, deals were created, and opportunities were recorded.

Basically, we put ourselves in your shoes. We used these free CRMs to do everything you’d do with them in your day-to-day role. We tested them, we reviewed them, and then we ranked them.

1. Hubspot

What did we like most?

With a vibrant, user-friendly design, great customer support, and an impressive tableau of features, it’s fair to say we liked… well, pretty much everything!

What did we struggle with?

We couldn’t find a way to access customer support through the CRM itself – we had to search for Hubspot’s contact details separately, which was a bit of a hassle.

Usability (9.5/10)

We’ll level with you – Hubspot is an absolute cinch to use. Its entire UX is underpinned by simple, intuitive drag-and-drop functionality. Deals, customer service issues, tasks, and emails are all visualized in customizable columns, and you can re-order and prioritize them with the flick of a wrist.

Hubspot’s ease of use is also owed to the consistency of its design across different parts of the CRM. Whether adding deals to the pipeline or importing contacts from an excel spreadsheet, we never struggled to find the right button.

Vanity (9/10)

Looks-wise, Hubspot keeps it simple with a navy blue, orange, and white color scheme. Its features are grouped under three categories: sales, marketing, and customer service, all accessible from a sleek tab at the top of the screen.

Visually, Hubspot also excelled at letting us know exactly what was – and what wasn’t – available on our free plan. All paid features are clearly displayed with a lock symbol next to them, which helped us to understand what we could do with the CRM – while tantalizing us with the more juicy capabilities Hubspot has in its locker.

Customer Support (8.5/10)

Hubspot got us rolling with a couple of online tutorials. Combined, they took about half an hour to do, and we found them super useful for acclimatizing to the software.

But, if you do run into any issues, you can “ask the Hubspot community” by posing your questions to Hubspot’s extensive online forum of fellow customers.

Alternatively, you can jump into a free, on-demand webinar to get to grips with the basics. Hubspot also offers phone-based support, as well as Twitter (@HubSpotSupport) and email-based assistance.

2. Freshsales

What did we like most?

Even aside from it being the people’s favorite, there’s a whole lot more to love about Freshsales. It looks good, is a dream to use, and provides an excellent level of customer support.

What did we struggle with?

Feature-wise, Freshsales’ free plan could do more, and it lacks the same capabilities as some of the other CRM software options on this list. The good news, though, is that it’s cheap to upgrade, with a big bunch of plans to choose from.

Usability (9/10)

On the whole, we found Freshsales to be highly usable. The layout grabs you instantly with its simplicity and style, and it’s never a hassle to create a new dashboard, import a contact, or view a report. Customer support is easily accessed from within the interface, and moving deals along the pipeline is a breeze.

Freshsales keeps it simple with an elegant – yet effective – design, incorporating stylish splashes of orange and shades of grey. Freshsales’ consistent look and feel gives its interface a modern, clean look that’s great for UX, while boosting its usability.

It’s gotta be the interface. Insightly’s colorful data visualization puts all the important data you need to grow your business at your fingertips.

What did we struggle with?

While its paid software is powerful CRM for businesses of all sizes, Insightly’s free version simply isn’t feature-rich enough to offer big benefits. You’ll get access for only two users, and a downright miserly limit of 10 email sends per day.

Usability (9/10)

Insightly is not only straightforward, intuitive software – we also found it really easy to get the hang of, and quick. It comes pre-populated with sample contacts, leads, email templates and projects, to give you an idea of what each one looks like.

Better still, the sample tasks included are things that’ll help you get to grips with using Insightly. You can start adding customers, invite more team members, and connect to your favourite apps. Then, simply tick them off in the tasks section when they’re complete. Satisfying!

Vanity (10/10)

Not only is Insightly simple to use, but it looks amazing. Logging in, you’ll be greeted with a comprehensive visual breakdown of all the deals you’ve got in the pipeline. We’re talking win rate percentages, opportunities sorted by state, and expected revenue. And it’s all there, in striking graphs and charts, for you to digest at a glance.

Insightly offers its non-paying customers daily phone-based support between 8am and 4pm PST. There are also FAQs, videos, and webinars available through its website for smaller queries, plus a comprehensive guide to help you make the most of its features. 4. Zoho

What did we like most?

How straightforward it all is – to sign up, to use, and to get customer support. Zoho is also packed full of great features, making it one of the most generous free CRM systems on the market.

What did we struggle with?

There wasn’t actually too much not to like about Zoho. The interface is a little overly simplistic, but that’s no deal-breaker.

Usability (10/10)

When it comes to ease of use, Zoho gets a perfect ten. All its features are laid out in a customizable menu along the top of the screen, and navigating is a breeze.

You also have a plus sign in the top right (see image) that serves as a shortcut for the quick adding of leads, contacts, deals, or tasks. There are also quick links to your calendar and notifications, plus a search bar if you do get lost (which you won’t).

Pictured: Sadly, Zoho’s interface is a little too basic for our tastes. What do you think?

Vanity (6.5/10)

If we’re honest, we weren’t too wowed by Zoho’s looks. Yes, it’s easy to use, but it’s that simplicity that probably also gives the interface the vibe of being a bit too basic.

Visually, the design of this CRM lacks colour and pizzazz, with the document library standing out to us as being particularly uninspired. Don’t get us wrong, Zoho does everything you need it to – just don’t expect much glamour while you’re doing it.

Customer Support (7/10)

The interface contains quick links to support videos and online training modules. You can also engage with fellow Zoho customers via its online community forum, and glean valuable insights from its extensive online knowledge base, which can be found here.

If phone-based customer support is high on your priority list, though, you’ll need to upgrade to one of Zoho’s paid plans. If you do, you’ll get 24-hour phone-based support… between Monday and Friday. Otherwise, you’ll still be able to get in touch with someone via Twitter (@zohocares) or email.

Zoho’s overall satisfaction rating is the joint-lowest out of our top five best free CRM software picks, alongside Agile CRM. While its 7.9/10 isn’t terrible – especially from a pool of more than 4,500 reviews – it should be treated as poor given the high ratings of its competitors.

How much does it cost to upgrade?

Zoho offers three basic pricing tiers, all of which are highly affordable – when compared to Salesforce or Hubspot, at least. That makes Zoho a great option for small businesses that want a few more features than a they’d get with basic plan, but at a low cost.

5. Agile CRM

What did we like most?

With access for up to ten users and a whopping 5,000 email sends per month, Agile offers one of the most generous free CRM systems on the market. It also provides superb customer support, and serves up an impressive buffet of tasty features.

What did we struggle with?

Ironically, Agile is the least usable CRM of all the systems we tested. It takes a while to get used to, and the interface is a bit bland. The signposting to key features isn’t great, either.

Usability (6.5/10)

We found that Agile CRM is actually pretty tough to get the hang of. Like the other CRM systems we tested, all its features are accessible from links in the sidebar menu. However, the features are labelled with icons (rather than their names) – and you can actually only see the names when you scroll over them.

This makes it just that little bit harder to get oriented, and feel fully comfortable navigating the CRM. The interface also lacks the sense of having a consistent design – many times during testing we found ourselves searching in vain for buttons or tabs that should’ve jumped out at us.

Vanity (7/10)

If there’s a single word we can use to sum up Agile’s interface, it would have to be… functional. It doesn’t look bad, or dated – it just lacks a certain pizzazz. The whole interface is quite short on colour, and the text is pretty small – both of which feed into Agile’s marked lack of usability.

Agile offers 24-hour email support on weekdays, as well as phone-based support between 9am and 5pm Monday to Friday. There’s also an online knowledge base that helps to demystify Agile’s myriad features, with screencaps of the interface and detailed explanations included.

Agile also offers regular training webinars to help you get onboarded, plus weekly online training workshops to help you become a CRM expert. And for Twitter-based support, you can get in touch with Agile at @agilecrm.

Free for up to 12 users and with a generous 5GB of online data storage, Bitrix 24 more than merits inclusion on our list of the best free CRM software. Available as either a cloud-based or on-premise solution, it’s fast, flexible and scalable software that grows with your business – though it might be difficult to get the hang of initially.

RAYNET free CRM rating

With almost 6,000 active users and 15 years in the industry, RAYNET is a small – yet experienced – CRM provider. It boasts strong email marketing capabilities and a good-looking interface to boot. Plus, it comes with a GPS-equipped app that’s perfect for travelling sales teams. The only sticking point is its analytics features, which aren’t as strong as those of other free CRM systems.

When Is Free CRM Software Right For My Business?

Good question! If you’re just starting out in business, as a sole trader or with a small team, then free CRM software is a great fit for your business. Likewise, if you only need relatively few (or more basic) sales and marketing capabilities, free CRM will probably tick all the boxes.

If you’re just looking for the best all-round free CRM software, it’s hard to look past Hubspot. However, if ease of use is higher up your priority list, Zoho is for you. If access to the best customer support is on your mind pick Agile CRM, while appreciators of the aesthetic aspects of CRM should plump for Insightly.

But, ultimately, free CRM software is too limited if you’re looking to expand your business.
